The headline price is only one of the numbers on the page #

A component quote almost never means "this is what one piece costs and that is what you pay." The unit price sits inside a set of conditions—minimum order size, the way the parts are packaged, how fresh the date code must be, how long the lead time is, and whether the market is in allocation. Buyers who compare two quotes on unit price alone often find later that the cheaper line actually costs more once packaging, handling and surcharges are included, or that it cannot be delivered in the form the line needs.

This guide walks through the fields that most often change the real landed cost of a quote, and what to put in a request for quotation (RFQ) so that the numbers you receive are actually comparable.

Minimum order quantity and standard pack quantity #

Two numbers govern whether a quoted price is even reachable:

  • MOQ (minimum order quantity) is the smallest total quantity the supplier will accept for that line. It is set by the supplier, not by the buyer.
  • SPQ (standard pack quantity) is the quantity in one factory pack—one reel, tray or tube. For small passive parts this can be in the thousands; for large ICs it may be a few hundred.

The practical trap is the gap between the two. A buyer may need 500 pieces, but if the SPQ is 3,000 and the distributor will not break the pack, the real minimum commitment is 3,000, not 500. Conversely, some lines allow "cut tape" (a partial reel cut to the exact quantity), but that usually carries a handling fee and can weaken traceability for certain product families.

  • Reel is the default for automated SMT placement and the lowest-cost form per piece, but you receive the full SPQ.
  • Tray is used for larger or more fragile packages (many BGAs); it stacks in smaller quantities and is easier to handle but costs more to store and ship.
  • Tube survives for through-hole and some specialty parts.
  • Cut tape gives you exactly the quantity you want for prototypes, at a per-piece premium and with a handling charge.

Moisture sensitivity level (MSL) is the quiet cost driver here. Many modern packages are MSL 2 or 3, meaning an opened reel exposed to ambient air for too long must be baked before reflow or it risks popcorning during soldering. If you buy cut tape or an opened reel, confirm the floor-life and baking status—otherwise a "cheap" partial reel can become scrap.

Date-code windows and why buyers set them #

The date code (year and week of manufacture) tells you how old the stock is. Buyers set an acceptance window for good reasons:

  • Commercial / consumer: a 2–3 year window is common; older stock may still be fine if storage was controlled.
  • Automotive, medical and long-life industrial: tighter windows (often 12–18 months) are typical because of qualification and traceability requirements.
  • Very old codes: carry obsolescence and long-shelf-life risk, especially for parts near end of life.

The fix is mechanical: state the acceptable date-code range in the RFQ. A quote that says "stock available" without a date code is incomplete—two quotes at the same price can differ by two years of shelf life, which changes both risk and, in allocation periods, the likelihood the line is truly available.

  • Future / factory quotes reflect factory lead time (often 12–30+ weeks for constrained lines). The unit price may look lower, but the risk and the wait are different.

Allocation surcharges are not a fixed rule—they appear when supply is tight and a supplier chooses to price scarce stock differently. The point for a buyer is not to memorize a percentage but to ask, on every constrained line: *is this price for stock I can ship now, or for factory lead time, and does it include any allocation or handling premium?* Two quotes that look identical on unit price can be ships-today versus ships-next-quarter, which is not the same purchase.

What to put in an RFQ to get a comparable quote #

The cheapest improvement to quote quality is the RFQ itself. A line that reads "need XC7Z020, 200 pcs" will return incomparable answers. A line that reads:

> Exact MPN and suffix, required quantity, acceptable date-code window, preferred packaging (full reel / cut tape), target destination, required ship date, and any automotive or MSL constraints.

…returns quotes that can actually be compared on landed cost. When the part is for an approved BOM, include the approved manufacturer and any substitution restrictions so the supplier does not quietly quote a different grade.
